Electronic depositary procedures
ELECTRONIC PROCEDURE FOR THE DEPOSIT OF INSTRUMENTS AND CIRCULATION OF INFORMATION ON TREATY-RELATED ACTIONS
Instruments may be deposited in hard copy or in electronic format. If they are deposited in hard copy, the original must be transmitted to the Office of the Director-General.
If they are to be submitted electronically, the standard specifications for the electronic deposit of instruments of ratification, acceptance, approval, accession or withdrawal are as follows:
· A certified true copy of the instrument is required. This must be accompanied by a certifying statement expressly stating that the electronic copy submitted is a true and complete copy of the original instrument.
· The electronic image of the certified true copy of the instrument must be of good quality, legible in its entirety, clean and sharp, with clear character definitions. It should be saved in PDF or TIFF format, with 300 dpi image resolution, in colour or black and white.
· The preferred media for electronic submissions includes USB flash drives, CD/DVD disks and/or e-mail attachments. If submitted by email, total email size should not exceed 10 MB.
· All electronic submissions by e-mail should be transmitted to [email protected] from an authorized official email address (i.e. Permanent Representation or Ministry’s official email addresses).
All correspondence from the Depositary – including letters confirming acceptance – will be sent electronically by email only, unless a specific request is received for hard copy correspondence.
